Digital signage in the office means displays and LED walls for internal communication: company news and KPIs in the lobby, room bookings outside meeting rooms, shift and safety information on the shop floor. Kampro plans these solutions, from choosing the technology to integrating them into your IT.

Why digitize internal communication?

Information does not spread through a company on its own. Emails get overlooked, intranets are rarely opened, and notices on the bulletin board are a relic in 2026. Digital signage in the office closes this communication gap with displays in stairwells, canteens, hallways and meeting rooms that show information exactly where employees pass by anyway.

Chapter 1

Why digitize
internal communication?

Information does not spread through a company on its own. Emails get overlooked, intranets are rarely opened, and notices on the bulletin board are a relic in 2026. Digital signage in the office closes this communication gap with displays in stairwells, canteens, hallways and meeting rooms that show information exactly where employees pass by anyway. The result: better information, more engagement and a more modern workplace.

Internal communication in German companies has a structural problem. According to the Gallup Engagement Index for Germany, only 16% of German employees are actively engaged at work (Gallup State of the Global Workplace 2024). A major driver of low engagement: company information that is missing or poorly communicated. Employees do not know what is happening in the company right now, what the quarterly goals are or which projects are under way.

The channel makes the difference

Email overload is a familiar problem. Employees receive more than 100 emails a day on average (source: Radicati Group, Email Statistics 2024). Important internal messages get lost. Intranets were supposed to solve the engagement problem, but in most companies their usage rate stays below 30% (source: intranet-management.de). Digital signage is different: the display is where the employee already is. There is nothing to call up and nothing to open; they see the information in passing.

Workplace digital signage: a growing market

According to Fortune Business Insights, the global digital signage market will grow to USD 54.7 billion by 2032, with a significant share in the corporate and workplace segment (source: Fortune Business Insights, Digital Signage Market 2025–2032). According to invidis, digital signage providers in the DACH region have reported double-digit growth in the corporate segment since 2023.

Use cases: where digital signage works in the office

Four areas where displays make the biggest difference: hallway and lobby displays, meeting room booking, production and shop floors, employer branding and a welcoming culture.

Chapter 2

Use cases: where digital signage
works in the office

Four areas where displays make the biggest difference.

Hallway and lobby displays

Displays in hallways, by the lifts and in stairwells, wherever employees pass several times a day. Content: current company news, KPIs and key figures, HR announcements (new hires, anniversaries), upcoming company events and industry news.

Meeting room booking displays

Small displays outside meeting rooms show whether the room is free or booked, who booked it and until when. They can connect to Outlook, Google Calendar or Microsoft Teams. This avoids confusion, saves time and makes better use of your rooms.

Production and shop floor displays

In production, displays are especially valuable: live production figures (OEE, output, defect counts), shift schedules, safety notices and quality data. Shop floor staff often have no PC, so the display is their main source of information.

Employer branding and a welcoming culture

Displays in the canteen show the employee of the month, new colleagues and team successes. That sounds small, but it strengthens the sense of belonging. Digital "bulletin boards" with employee photos and names make the company feel more human.

Where exactly does digital signage save time?

Workplace digital signage saves time in several places in everyday work, often unnoticed, but noticeable in total:

1. Shorter meetings, because information is picked up in passing: When current KPIs, quarterly figures and project progress run on hallway displays all the time, employees arrive at meetings already informed. The "status update" at the start of many meetings gets shorter or disappears. That means less meeting time for every employee every week.

2. No more hunting for a room: Without digital room signage, employees go from door to door to check whether a meeting room is free, or email the office team. With a booking display outside each room, everyone sees at a glance: free, booked, next booking. That saves time on every booking, and with many bookings a day it quickly adds up.

3. Fewer internal emails and questions: "When is the summer party?", "How were the Q1 figures?", "Who is the new colleague in department X?": digital signage answers these questions automatically. HR and the office team are spared many one-off questions every week, because the information is visible on the displays.

4. Faster onboarding: New employees are welcomed on the displays, and site information and contacts are visible. That shortens the time it takes to settle in and reduces organizational questions in the first weeks.

5. Avoiding production downtime: On the shop floor, displays show real-time OEE, machine status and safety notices. Shift supervisors see problems straight away instead of waiting for manual reports. Real-time visualization helps shift supervisors spot faults sooner.

Calculating ROI: how it works

The simplest ROI calculation focuses on meeting efficiency, because it is the easiest effect to measure: if digital signage means each employee spends a few minutes less per week in meetings (because status updates are no longer needed), it adds up over a year:

How to calculate it: number of employees × minutes saved per week × 52 weeks gives the time saved per year. Multiply that by the average gross hourly wage and you get your saving in working time per year, from shorter meetings alone. The effects of fewer emails, faster onboarding and avoided production downtime come on top.

According to Gallup research, companies with highly engaged employees are 21% more profitable (Gallup State of the Global Workplace 2024). Digital signage is not the only lever for engagement, but it contributes, because it creates transparency and gives employees the feeling of being informed and involved.

Calculate your savings

Adjust the three values to your company. The calculator shows an estimate that only takes the meeting effect into account. Fewer emails, less time spent looking for rooms and fewer questions are not included.

Content strategy for workplace digital signage

The right content mix decides whether it works: 60 to 70% information widgets, 20 to 30% employer branding, 10 to 20% calls to action. Integration with Microsoft SharePoint, SAP, Power BI and news feeds.

Chapter 5

Content strategy for
workplace digital signage

The right content mix decides whether it works.

60–70%
Information widgets
KPI dashboards, production data, current news, weather, upcoming events. Clear, compact and updated daily. It draws attention because the content is always fresh.
20–30%
Employer branding
Employee profiles, team successes, new colleagues, anniversaries, training offers. Builds a sense of community and loyalty.
10–20%
Call to action
Event invitations, surveys, HR announcements. Specific, time-bound and with a clear call to action.

Integration with existing data sources

Modern CMS platforms for corporate digital signage integrate with Microsoft SharePoint and Teams, SAP / ERP systems (for production data), HR systems (for staff announcements), Power BI and other dashboards, as well as weather APIs and news feeds.

Integration with existing IT systems

The strength of corporate digital signage lies in integration: Microsoft 365, SAP/ERP, Power BI and SSO/ISO 27001. Live KPIs, Teams calendars and real-time production data on one display.

Chapter 6

Integration with existing
IT systems

The strength of corporate digital signage lies in integration. A display that shows static company logos is hardly better than a poster. A display that pulls live KPIs from SAP, shows current Teams calendar entries for the meeting room and visualizes real-time production data is a real communication hub.

Microsoft 365
Teams, Outlook, SharePoint
SAP / ERP
Production data, OEE
Power BI
Dashboards and analytics
SSO / ISO 27001
IT security compliant

Microsoft 365 integration: Exchange/Outlook calendars for room booking, Teams status display, SharePoint news straight on the displays. Supported by most enterprise CMS providers (for example Signagelive, Yodeck Enterprise, ScreenCloud for Enterprise).

ERP/MES integration (production): SAP, Siemens MindSphere or similar, with real-time production data on shop floor displays. OEE views, shift schedules, safety counters.

SSO and IT security: An enterprise CMS has to fit into your existing IT security infrastructure. Look for ISO 27001 compliant CMS providers.

Checklist for decision makers

The 7 most important questions before you invest in workplace digital signage: communication gaps, where employees spend their time, IT integration, content upkeep, industrial displays, room signage, data protection.

Chapter 7

Checklist for decision makers

The 7 most important questions before you invest in workplace digital signage.

Which information is currently not communicated well enough in your company?
Where do employees spend time every day (hallways, canteen, stairwell, production hall)?
Are there IT systems the CMS should integrate with (Teams, SAP, etc.)?
Who in the company will look after the content (HR, marketing, IT)?
Do you need industrial displays (protection class IP54+)?
Should room signage be included (meeting room booking)?
Are there data protection requirements (employee data on displays)?

Samsung
Samsung + Materna GmbH

LED + a complete display ecosystem

Materna GmbH is an IT services company based in Dortmund with more than 4,000 employees. During a consultation at Samsung's B2B showroom in Frankfurt, the conversation started with a single LED wall. After experiencing the full Samsung ecosystem (LED, LCD and the Samsung VXT content management platform), Materna chose a comprehensive solution: LED walls, commercial displays and the Samsung VXT CMS, integrated into its existing IT infrastructure.

The result is a fully networked digital signage system that brings corporate communication, room booking and employee information together on one platform.

Leyard
Leyard + INNOPORT Reutlingen

AI experience room with LED displays

INNOPORT in Reutlingen (Baden-Württemberg) is an innovation and technology center that gives companies and startups a platform for AI and digitalization projects. Leyard Europe installed an "AI Experience Room" at INNOPORT with professional LED display solutions that enable interactive demos, presentations and AI applications in an immersive setting.

German companies increasingly see experience rooms like this as a strategic investment: they let customers and partners experience new technologies first hand.

Chapter 9

Conclusion: digital signage as an
investment in employer branding and efficiency

Workplace digital signage is not a gimmick for tech companies. It is a practical communication tool for any company that wants to inform, engage and retain its employees better. The technology is mature, implementation has become simpler, and integration with existing systems adds real value beyond the display itself.

The first step does not have to be a complete network. Two hallway displays with a good CMS can already make a noticeable difference to internal communication, and from there the path to a complete workplace signage system becomes much clearer.
